1. Overview

Customer Pick Up (CPU) has additional responsibilities, which include when a guest is coming to the local distribution center to pick up their items, end of day procedures, and the CPU Tracking Sheet. See below for further details on each process.

2. Processing Paperwork for Customer Pick Ups

The CPU team uses the following procedure when a guest comes to our Distribution Centre to pick up their product:


         1. Greet the guest via telephone / in person 

         2. In Storis, go to Enter a Sales Order. 


Note: If the guest does not have their sales order number, we can look up their order by telephone in Storis via View Customer Activity screen.  


         3. Enter the sales order number into the Order Number field and press Tab. 

         4. Select today’s date from the Date field. 

         5. Select SCH from the Status drop down menu.         

         6. Select the required location from the Pickup At drop down menu.  

         7. Click the Merchandise tab. 

         8. Double click each line item to ensure the Stock Location and Ship Location are correct and then click Add. 

         9. Click the Payment Tab. 

        10. Ensure the Balance Due is $0.00. 


Note: If there is a balance owing, due to this being a commercial account, we can release the items. If this is for a personal (guest account), the guest must make a payment at one of our store locations, before we can release the stock.  


        11. Select Print Pickup Ticket and click Save. Storis prompts, Would you like a printed copy of this order?

        12. Click Yes. Storis prompts 1 ticket processed. 

        13. Click OK. 

        14. Request a warehouse team member to come to CPU to pick up the paperwork. 

        15. Direct the guest to the appropriate bay door.  

        16. Record the guest license plate number on the pickup ticket. 

        17. Thank the guest for their purchase. 

 

3. Finalizing the Paperwork for Customer Pick up

The warehouse team member will provide the paperwork to the front-end team member once the guest has their product loaded into their vehicle and has signed the pickup ticket.  


         1. In Storis, invoice the sales order 

                 a. Enter the sales order number into the Order Number field and press Tab. 

                 b. Click the Payment tab. 

                 c. Select Customer Pick Up from the Completion Type drop down menu and click Save. 

                 d. The Completion Date Entry screen appears. Click OK. 

                 e. The Document Detail screen appears. Double click the product line(s) and Click Add. 

                 f. Click Save. You’re returned to the sales order. 

                 g. Click Save. Storis prompts “Document XXXXX completed”. The sales order is now complete. 

          2. File the pick ticket.  



4. Customer Pick Up Tracking Sheet

Effective April 17, 2016, all CPU teams must complete the Customer Pick Up Tracking spreadsheet to include the subtotal amount of the merchandise leaving the building. Information entered into this spreadsheet includes the sales order number, number of pieces, and the subtotal value. This information then auto populates the total amount for the day at the bottom of the sheet. This spreadsheet must be emailed to the DC Manager at the end of the day.  


5. CPU Tracking Sheet Procedure

Use this procedure when updating/maintaining the CPU Tracking Sheet:


  1. Review the daily file for all pick up tickets. 
  2. Open the Customer Pick Up Tracking spreadsheet. 
  3. Enter today’s date into the Date field. 
  4. Enter the sales order number into the Sales Order column. 
  5. Enter the number of pieces that were physically picked up from the Distribution Centre.

Example: Guest’s order has 4 items, but they only picked up 3. You would enter a quantity of 3 into the Pieces field.


       6. Enter the total value (subtotal) of the pieces leaving the Distribution Centre. 

       7. Repeat steps 3 – 5 for all customer pick ups. 

       8. Email a copy of the spreadsheet to the Distribution Manager.  


  

6. End of Day Procedure

At the end of the day, review in Storis that all sales orders are invoiced. If they are not invoiced, complete the invoicing procedure.
